Chief of Staff
Location: Salt Lake City, UT
Position Overview:
Client is seeking a Chief of Staff to work in our office in downtown Salt Lake City, UT, reporting to one of clients Managing Directors Founding Partners (“the MD”). The Chief of Staff will provide both operational leadership and strategic execution, focusing on ensuring seamless execution of projects and initiatives. This role involves high-level project management, daily tactical execution, and maintaining organization across tasks, schedules, and communication. Additionally, the role includes managing relationships foundations and assisting with internal and external board-related activities.
Primary Responsibilities:
Project Management & Execution:
- Lead and oversee key projects and initiatives, ensuring timely execution and alignment with company objectives.
- Develop and manage project plans, including setting timelines, tracking milestones, and ensuring task completion.
- Ensure all project-related materials, resources, and deliverables are organized and available on time for all stakeholders.
- Ensure clear delegation of tasks, with regular follow-ups on progress to guarantee on-time and high-quality execution.
Tactical Execution & Daily Operations:
- Manage the MD’s daily to-do list and calendar, ensuring tasks and meetings are prioritized and all materials are prepared in advance. Strong focus on prioritization and keeping workflows and communication “on track”.
- Coordinate the daily workflow, ensuring all meetings, deadlines, and tasks are executed timely and with efficiency.
- Assist in preparing meeting materials, presentations, and communications for internal and external stakeholders, ensuring they are clear and aligned with project goals.
- Attend meeting with (or as a representative of) the MD.
- Consolidate meeting notes, action items, and follow-ups, ensuring the MD’s responsibilities and key decisions are tracked and acted upon in a timely manner.
Task Management & Follow up & Organization:
- Create daily task lists for both the MD and the broader team, ensuring that key deliverables are tracked and prioritized.
- Maintain an organized task management system, tracking ongoing tasks and project progress to ensure deadlines are met.
- Track the completion of action items from meetings and ensure that follow-ups are executed according to the established timeline.
- Maintain detailed records of strategic decisions and action items to ensure follow-through on all key business activities.
- Lead by example, fostering a culture of accountability, organization, and execution.
Stakeholder Management:
- Act as a liaison between the MD and key internal and external stakeholders, ensuring effective communication and alignment of interests.
- Assist in managing relationships with and across foundations that are associated with the firm
- Coordinate with family members, as needed, to ensure proper involvement, scheduling, etc.
- Operate as a representative within the broader community
Qualifications:
- An ideal candidate has 8+ years of experience in a similar role
- Strong organizational skills
- Excellent communication skills, both verbal and written
- Ability to work in a high-volume, fast-paced, deadline-driven environment
- Responsive, friendly and proactive approach
- Microsoft Office
- Bachelor’s degree in a business-related field or relevant work experience
