Senior Executive Assistant

Location: Salt Lake City, UT

The Senior Executive Assistant will collaborate with and provide support for our Managing Director/Co-Founder. The ideal candidate will facilitate effective personal and professional time-management; serve as a first point of contact for the Managing Director; manage email correspondence and screen phone calls; maintain a checklist and follow-up daily to remind Managing Director of outstanding items, prioritize projects and manage deadlines; research, prepare and update necessary documents (agendas, contact lists, spreadsheets) in advance of and after meetings, as required; maintain confidentiality and highest level of discretion at all times with respect to all personal and business information and knowledge; Includes Personal Assistant duties; including, but not limited to, running errands, tending to other recurring and or ad-hoc projects that enable the Managing Director to focus and balance executive function with daily personal life.

Additional Job Duties:

·       Scheduling, coordination, and management of Managing Director’s calendar.

·       Review and prioritize Managing Director’s email.

·       Manage expenses and track speaking engagement reimbursements.

·       Event management and planning.

·       Coordinate international and domestic speaking engagements.

·       Manage complex international and domestic travel.

·       Act as the primary point of contact for internal and external stakeholders, responding to inquiries and directing to appropriate individuals as necessary.

·       Maintain efficient document retention system.

·       Completing compliance certification on ComplySci.

·       Other related administrative and support duties as required.

Desired Experience, Knowledge, and Attributes:

·       8+years of experience in a similar role, with a proven history of supporting C-suite executives and managing complex calendars and travel.

·       Provide comprehensive administrative support to a senior executive, including scheduling, travel arrangements, expense reporting, and communication management.

·       Highly organized with outstanding diligence; proven ability to keep the urgent and important in check.

·       Manage and maintain confidential information and records with a high level of discretion.

·       Uncompromising work ethic; strong initiative; keen attention to detail; adaptable; personable; professional in dress and appearance.

·       Good moral character, ethics, honesty, loyalty, and integrity.

·       Strong interpersonal skills; clear and concise written and verbal communications.

·       Ability to maintain confidentiality and manage sensitive information with discretion.

·       Proven ability to work with minimal guidance to solve problems and achieve desirable outcomes.
